Visitors Book Meetings Themselves

Share a link or QR code. The visitor picks a meeting type and a time, and the meeting lands in your team's schedule.

Booking Meetings by Email Takes Time

Meetings before and during a trade show are usually booked by email and phone. Someone has to check who is at the stand when, suggest times, wait for a reply and enter the meeting by hand. A visitor who wants to meet you on Thursday afternoon may not get an answer in time.

How Trade Show PRO Solves It

You create a booking page for the event with the meeting types you offer, for example a 30-minute product demo or a one-hour meeting in your meeting room. Share the link or QR code in your invitations, your email signature or on a sign at the stand.

A time can only be booked when someone who can take the meeting is scheduled at the stand and not already in another meeting. The meeting goes to the team member with the fewest meetings that day, unless the visitor picks a person.

Key Capabilities

1

Meeting Types

Set the length, a break after the meeting and who on the team can take it. A meeting type can also book a free meeting room together with the meeting.

2

Only Free Times

The page shows times when someone who can take the meeting is on shift and free. Nobody is double-booked.

3

Personal Links

Each team member has their own link that books meetings with them only. Useful for sales reps who invite their own customers.

4

Confirmation and Calendar Invite

The visitor gets an email with a calendar invite and a link to cancel. The person assigned is notified in the app.

5

Every Booking Becomes a Contact

Bookings are added to your contacts, marked Booked online. When you scan the same person at the stand, the two are merged when the email address matches.

6

Four Languages

The booking page is available in English, Swedish, Norwegian and German.

Why It Matters

A meeting booked before the show is a conversation you know will happen. With a booking page, visitors can book as soon as they read your invitation, and your team does not have to agree on times by email.

Because every booking is also a contact, the meetings end up in the same contact list and follow-up as the people you scan at the stand.
